1.Overview
This AI Use Policy explains how Zoiko Sema's AI features should be used responsibly, reviewed by humans, governed by admins, and reported when something goes wrong.
2.Scope and Covered AI Features
This policy covers AI meeting summaries, transcript processing, action item extraction, draft reply suggestions, and related AI-assisted workflows within Zoiko Sema.
3.Allowed and Responsible AI Use
AI features are intended to help you and your team move faster on legitimate business communication tasks. Use of AI outputs should always be consistent with your organization's policies and applicable law.
4.Human Review and Output Limitations
AI-generated summaries, action items, and suggestions may contain errors, omissions, or misattributions. They should be reviewed by a human before being relied upon, shared externally, or used for decision-making.
5.AI Meeting Summaries
Meeting summaries are generated from audio, transcripts, and available context to highlight key discussion points. Hosts and permitted participants can review, edit, and approve summaries before they are shared.
6.Action Items, Decisions, and Follow-Ups
Extracted action items, owners, and due dates are suggestions based on meeting content and should be confirmed by a responsible human before being treated as an assignment of work.
7.Admin Controls and Sensitive Workspaces
Workspace admins can disable or limit AI features in HR, legal, executive, confidential, or regulated workspaces, and can configure who may generate, view, edit, share, or export AI outputs.
8.Data, Privacy, Retention, and Security
AI processing of meeting and workspace content is subject to the retention, security, and privacy controls described in the Privacy Notice, Security Policy, and DPA where applicable.
9.External Participants, Guests, and Sharing
Workspace admins define whether AI features may operate when guests or external participants join a session, and AI outputs should only be shared with individuals who are permitted to access the underlying meeting or workspace content.
10.Third-Party Integrations
Where AI outputs are exported to third-party integrations, the receiving system's own terms and security posture apply, and admins should review integration scopes before enabling this.
11.Restricted Uses
AI features must not be used to generate deceptive content, automate decisions with legal or safety consequences without human review, or process content in workspaces where AI has been explicitly disabled.
12.Reporting Misuse or AI Concerns
If an AI output appears inaccurate, inappropriate, or misused, please report it so our AI governance team can investigate.
